Drawers
(Note: the Demo software will install with the use of cash drawers turned off. To evaluate this feature, change the setting in Back Office;Maintenance; Setup; Program Options.)

Every repository of cash should be setup as a drawer - so for example, your safe should be set up as a drawer, as should the ATM machine (if you use one), as well as each separate cashier drawer or till. Each drawer will start with an opening balance and the the system will track all cash additions, cash removals and payments. Daily, or at the chosen interval, the cashier will close out the drawer, enter the ending balance and the system will determine if there is an overage or a shortage.

Drawers are originally setup in the Back Office module, in Maintenance; Setup; Drawer Maintenance.


Each drawer is given an identifying code, for example 'S' for the safe, 'M' for the ATM machine and 'A', 'B' and 'C' for the three drawers the cashiers will use. The screen will show the status of the drawer Open or Closed, and who the current user of this drawer is. You may also setup whether or not the drawer is 'logable'. A logable drawer is one that can be exclusively opened by a cashier. The safe and the ATM machine are not logable, but the regular cashier drawers are. You may enter a beginning balance - but once you have started operating you should not edit the beginning or the ending balance again.

If 'Drawers' are operational, when a cashier logs in they will be asked to enter a drawer code. Once a cashier has opened a drawer, no one else may use it until it is closed, and all payments made are deducted from the balance of that drawer. During the day a cashier has three options pertaining to the drawers on the Cashier Menu.

The cashier may change to a different drawer, add or remove cash from a drawer or close out a drawer.

Add or Remove Cash


To add or remove cash, the operator needs to enter the cash amount, specify which drawer the money is getting added to and/or removed from. Pressing 'Make Entries' completes the transaction.

The cashier chooses the drawer to close out.


The first step in closing a drawer is to count the money in the drawer and enter it into the system. The cashier presses the 'Enter Cash in Drawer' button, and a screen will pop up to allow the operator to enter the number of bills or coins of each denomination that were counted in ther drawer.

The cashier needs to press, for example, on the $100 button, and then simply key in that they have 2 bills and the system does the extension to $200.00. Similarly, by pressing on the $20 bill and keying in that there are 18 $20 notes, the system will extend the amount out to $360.

After the amount of cash in the drawer has been entered, press the Process Information button to display the reconcilliation. If the drawer is out of balance, the system will show a overage or a shortage.

The cashier may pay a single ticket, (either by cash or a check), pay cash for multiple tickets to one customer, pay check for multiple tickets to one customer , change a payment or void a check or reprint a check receipt. If you are operating with a number of cashiers and different drawers, you may have options to Change Drawers, Add or remove cash or close out a drawer.
